Who this covers

Vynl Vision is software used by sign, print and vehicle-wrap shops. If you work at one of those shops, you are a user of the Platform. If you are a shop’s customer reviewing a quote or proof through a link they sent you, the shop is responsible for your relationship with it and the Platform processes your information on the shop’s behalf.

What is stored

Shop staff: name, work email, phone, role, and a login. Activity inside the app (which record was changed, when, by whom) is kept in an audit trail the shop’s admins can review.

Shop customers: whatever the shop enters about you — name, company, contact details, vehicle details, quotes, orders, invoices, proofs — plus what you do in the customer portal: when a link was opened, what you approved or asked to change, the name and email you typed, and the time.

Email and text messages: messages sent through the Platform are logged (recipient, subject, delivery status, and whether they were opened or clicked when the mail provider reports it).

Why

To run the shop’s business: quoting, scheduling, production, invoicing and the communications those require. The Platform does not sell personal information and does not use it for advertising.

Who it is shared with

Service providers that operate the Platform: hosting and database (Supabase on AWS, Vercel), email delivery (Resend), text messaging (Twilio), file storage (Cloudflare R2), error monitoring (Sentry) and, where a shop connects them, their own accounting (QuickBooks) and marketing (GoHighLevel) systems. Each provider receives only what it needs for its function.

Isolation

Each shop’s data lives in its own workspace. Staff of one shop cannot see another shop’s customers, pricing or documents. Files a shop uploads are stored under that shop’s folder.

Your choices

Shop customers: to stop receiving email from a shop, reply to any message or use the unsubscribe address in its footer; to see or delete what a shop holds about you, contact that shop. Shop staff: your admin can edit or remove your profile; a full workspace export is available to the shop on request.

Retention and security

Data is kept for as long as the shop’s workspace is active and for a reasonable period after it closes. Access is restricted by login and role, encrypted in transit, and the database enforces workspace isolation at the row level.
